How to use these templates: Replace [Name], [Business], and bracketed details with real specifics before posting. Never copy verbatim — Google and customers both notice identical responses. Personalise at minimum the reviewer's name and one detail from their review.

Positive review response templates (5-star)

Generic positive — all business types

"Thank you so much, [Name]! We're really glad your experience was great. Your kind words mean a lot to our team. Hope to see you again soon!"

With specific service or product mentioned

"Thank you [Name]! We're thrilled you enjoyed [specific dish / treatment / product]. We'll pass your feedback to [employee name if mentioned] — they'll be thrilled to hear this. See you next time!"

For a 5-star with no written text

"Thank you for the 5 stars, [Name]! It's wonderful to know you had a great experience. We look forward to welcoming you back."

For a long, detailed positive review

"Wow, thank you for taking the time to share this, [Name]! Reviews like yours genuinely make the team's day. We're so glad [specific detail from their review] stood out — that's exactly what we aim for. Come back soon!"

Negative review response templates (1–2 star)

Genuine complaint — service issue

"Thank you for sharing your experience, [Name]. I'm sorry to hear that [specific issue if mentioned] didn't meet the standard we aim for. We'd really like to understand what happened — please reach out to us at [email/phone] so we can learn more and address your concerns. This is not the experience we want for any customer."

Complaint — long wait time

"Thank you [Name], and I'm sorry you experienced a longer wait than expected. [Day/time] can get busy and we clearly fell short. We're working on improving how we manage peak hours. We'd love the chance to show you a better visit — please reach out at [contact] if we can help."

Complaint — food quality or product issue

"Thank you for letting us know, [Name]. We're sorry to hear the [dish / product] wasn't what you expected — that's not the standard we hold ourselves to. Please contact us at [contact] so we can understand what went wrong and make it right."

Complaint with no detail

"Thank you for your feedback, [Name]. We're sorry your experience wasn't positive. If you're willing to share more about what happened, we'd really like to understand. Please reach out at [contact] and we'll do our best to address it."

Suspected fake or unfair review

"We take all customer feedback seriously. However, after a thorough check of our transaction and appointment records, we are unable to verify this experience. If you have visited our business, please contact our manager directly at [email/phone] with details of your visit so we can investigate further."

Industry-specific templates

Restaurant — positive

"Thank you [Name]! So glad you enjoyed your meal with us. Feeding people well is what we love to do — whether it's the [dish] or just the warmth of the dining room. Can't wait to have you back!"

Salon / beauty — positive

"Thank you [Name]! [Stylist/therapist name] will be over the moon to hear this. We're so glad you left feeling great — that's exactly the goal every time. See you at your next appointment!"

Clinic / healthcare — positive

"Thank you for the kind words, [Name]. We're glad the visit went smoothly and that you felt comfortable. We look forward to seeing you at your next appointment."

Clinic / healthcare — negative (privacy-safe)

"Thank you for sharing your feedback. We take patient experience very seriously and want to understand your concerns better. Please contact us at [phone/email] so we can look into this directly. We appreciate the opportunity to address it."

Home services — positive

"Thank you [Name]! We're so glad the [job type] went smoothly and the team took good care of things. That's exactly the standard we work to. Here whenever you need us!"

Retail — positive

Why Responding to Google Reviews Matters

Responding to reviews is more than just good manners. It directly impacts your business's visibility and reputation.

Neutral & Mixed Review Response Templates (3–4 Star)

Four-star reviews are mostly positive with a small critique. Three-star reviews are truly neutral. The goal is to thank them for the positive parts and acknowledge their constructive feedback, showing you're listening and eager to earn that fifth star next time.

For a 4-star review with a minor complaint

"Thank you for the great feedback, [Name]. We're so glad you enjoyed [positive aspect mentioned], but I'm sorry to hear that [negative aspect mentioned] wasn't quite right. We appreciate you pointing this out — that's valuable feedback for us. We hope to see you again soon for a 5-star experience!"

For a generic 3-star review (e.g., "It was okay")

"Thank you for taking the time to leave us a rating, [Name]. We're always aiming to provide a 5-star experience, and we'd be grateful to learn more about what we could have done better during your visit. If you're willing, please contact us at [email/phone]."

For a 3-star review with specific positive and negative points

"Thanks for sharing your detailed feedback, [Name]. We're glad you liked [positive aspect], but we're sorry that [negative aspect] let your experience down. We take comments like this seriously and will be looking into it with the team. We hope you'll give us another chance to impress you."

How to Report a Fake or Inappropriate Google Review

If you believe a review violates Google's policies (e.g., it's spam, off-topic, or contains prohibited content), you can flag it for removal. It is often best to respond publicly first (using the template for suspected fake reviews) and then report it.

  1. Sign in to the Google account used to manage your Google Business Profile.
  2. Navigate to your Business Profile and click on 'Reviews'.
  3. Find the review you want to report.
  4. Click the three-dot menu (⋮) next to the review and select 'Report review'.
  5. Choose the reason that best describes the violation and submit your report.

Google will review your request, which can take several days. You can check the status of your report in the 'Reviews' section of your profile.
